Tasks and projects

Assign work, discuss delivery and close projects with their tasks accounted for.

Create and assign work

With Tasks enabled, owners and administrators create and edit projects and tasks. A task may be standalone or linked to a company project. Set its priority, dates and employee assignees. A project manager field identifies responsibility; it does not grant company administrator permissions.

Work as an assignee

Assigned employees can discuss their tasks and change status between to do, in progress and completed. They cannot use the status action to change assignments, priority or dates. Ask a manager to reopen a cancelled task or a completed or cancelled project before changing its work.

Close a project deliberately

Complete or cancel all open tasks before marking their project completed. Reopen a completed or cancelled project before adding or reopening active work. Task completion and project completion are separate decisions.

Follow deadlines and discussion

Use task discussion to keep delivery context with the work. Calendar shows permitted active work deadlines from the enabled module; completed and cancelled work is excluded. Assignment notices in Inbox do not themselves complete tasks. Open the task to act and inspect its current status.

Upload and download task files

  1. Open the task and find Task attachments. Owners, administrators and currently assigned employees can upload and download its available files.
  2. Choose Attach a file, select a trusted PDF, JPEG, PNG or plain-text file, then choose Upload attachment. The maximum is 10 MB per file and 100 files per task, including archived files.
  3. Use Download in the attachment list. Files download rather than open in an in-app preview. A saved download link does not grant access after task assignment or company access is removed.
  4. If storage fails, select the file again and retry. Ask your administrator to check document storage if the problem continues. Malware scanning is not provided; accepted file types do not establish that a file is safe.

Archive or restore a file

  1. Use Archive on the attachment, enter a reason and confirm. Managers can archive any attachment on the task; an assigned uploader can archive their own.
  2. Archiving blocks further downloads through the system but retains the stored file and its history. It does not free the task file allowance or recall copies already downloaded.
  3. Ask an owner or administrator to use Restore with a reason and confirmation. Assigned employees cannot restore files themselves.
  4. If the stored file is missing, restoration is rejected. Upload a replacement from a trusted copy rather than assuming the archived record is a backup.

Test attachments in the private demo

Use fictional files only. Task attachments and employee documents share the demo company upload allowance of 100 MB, including archived files. The scheduled cleanup removes files with the expired demo workspace; the demo is not permanent file storage.

Export tasks and project progress

  1. Apply the task search, project and status filters, then choose Export matching tasks CSV. The download includes every matching results page, not just the current page. Changing a filter field without choosing Filter does not change the export.
  2. Choose Export visible projects CSV for the separate project register. This includes all project pages you can access and does not use task search or status filters.
  3. Members receive only their currently assigned tasks and projects containing those tasks. Project counts include only tasks visible to that member; managers see the company scope.
  4. These are current-state CSV reports, not historical snapshots, native Excel workbooks or PDF reports. They exclude discussion text, attachment contents and private employee contact information. Keep downloaded copies secure; later permission changes cannot recall a file already downloaded.
